1. Data Controller

2. Legal Framework
This policy has been drafted in accordance with the General Data Protection Regulation (EU 2016/679 — GDPR), the Belgian Law of July 30, 2018, on the protection of natural persons with regard to the processing of personal data, and the ePrivacy rules for electronic communications and cookies.
3. What data we process
Depending on your interaction with our website and services, we process the following categories of personal data:
3.1 Identification and contact information
- First and last name
- Email address
- Phone number (only for explicit contact requests)
3.2 Newsletter Information
- Date of birth
- Preferred language for communication (Dutch or French)
- Preferred categories (show type / genre)
- Preferred cities
- Source channel of the registration (e.g., homepage or exit pop-up)
3.3 Purchase-related data
In certain cases, we receive data from ticketing partners (such as Ticketmaster, BOZAR, In&Uit, Ticketmatic, SeeTickets, Kinepolis, and similar providers).
- This may include the following information:
Identification information: last name, first name, email address, mailing address, and phone number - Purchase details: show type, location, date, and amount of purchases
We distinguish between two situations: - Profile enrichment: Purchase data from existing newsletter contacts is used to segment communications more effectively, without requiring additional consent
- New contacts through ticket partners: If a ticket partner provides us with contact information for individuals who have given them consent for third-party marketing, we may contact those individuals directly. The ticket partner is responsible for recording and retaining that consent. We maintain internal records of which partner obtained the consent and on what date.
3.4 Technical and Analytical Data

4. Purposes and Legal Bases
We process personal data only for specific purposes and on a valid legal basis:
- Responding to questions and requests — Legal basis: performance of pre-contractual measures or a contract
- Sending the newsletter — Legal basis: consent (opt-in), which may be withdrawn at any time
- Segmentation of the newsletter based on specified preferences (language, category, city) — Legal basis: consent
- Enriching contact profiles based on purchase history with ticket partners to improve the relevance of newsletter communications — Legal basis: legitimate interest
- Website Security and Fraud Prevention — Legal Basis: Legitimate Interest
- Compliance with legal obligations (accounting, disputes) — Legal basis: legal obligation
When we rely on legitimate interest as a legal basis, we have conducted a balancing of interests. You may object to this by contacting info@musichall.be.
5. Recipients and Disclosures
We share personal data exclusively with processors necessary for the provision of our services. All processors are contractually bound by a data processing agreement.
Our main processors are:
- Brevo (Sendinblue SAS, France) — email marketing platform and contact management
- Hostinger — web hosting provider
- Sanity — content management system
- Ticket partners — for purchase-related data as described in section 3.3
When transferring personal data outside the European Economic Area (EEA), we use appropriate safeguards, such as the European Commission’s Standard Contractual Clauses (SCCs), where required.
6. Retention periods
We do not retain personal data for longer than is necessary for the purpose for which it was collected, taking into account legal and contractual obligations.
6.1 Newsletter subscribers
Data is retained for as long as consent remains active. After unsubscribing, personal data is deleted from active systems within 30 days. The email address is subsequently retained for a maximum of 12 months as a suppression list, solely to prevent repeated unwanted subscriptions.
6.2 Profile enrichment based on purchase history
Purchase data from ticket partners is used exclusively for segmentation purposes and retained as long as the newsletter subscription is active. Upon unsubscription, this data is also deleted.
6.3 Contact requests
Messages and requests are retained for a maximum of 24 months after the last contact, unless an ongoing agreement or legal obligation requires longer retention.
6.4 Legal obligations
Data necessary for accounting or dispute resolution is retained in accordance with applicable legal retention periods (typically 7 years for accounting records).
7. Your rights
As a data subject, you have the following rights under the GDPR:
- Right of access: You can request to see what information we have about you
- Right to rectification: You can have inaccurate or incomplete information corrected
- Right to erasure (“right to be forgotten”): under certain conditions
- Right to restriction of processing: under specific circumstances
- Right to data portability: Requesting your data in a structured format
- Right to object: to processing based on legitimate interests
- Right to withdraw consent: not retroactive, at any time
You can exercise these rights by contacting privacy@musichall.be. We will process your request within 30 days. In the case of complex or multiple requests, this period may be extended by up to 2 months, provided you are notified.
8. Filing a Complaint
If you believe your rights are not being respected, you have the right to file a complaint with the competent supervisory authority:

9. Cookies
We use cookies and similar technologies on our website. Non-essential cookies (analytical, marketing) are only placed after you have given your explicit consent via our cookie banner.

11. Changes
We may update this policy in response to changes in legislation, processing activities, or the tools we use. The most recent version is always available at musichall.be/privacypolicy with the updated date. In the event of substantial changes, we will notify active newsletter subscribers via email.
